It shouldn’t be difficult for attendees to get to the venue. Inquire about on-site parking availability and the associated fees. If there’s not enough parking space, know the provider’s plan for managing shuttles or valet services. Also, look into the venue’s proximity to major transit lines. Most important of all, the venue has to have accessibility features like ramps, functional elevators for all levels, and clearly marked restrooms.

6. What’s the Cancellation and Refund Policy?

Don’t skip looking into the cancellation and refund policy. Know up until when you can call things off and how much of the deposit fees will be paid back to you in case that happens.

Scrutinizing the provider’s force majeure clause is a must too. In events such as natural disasters, severe weather, or public health crises, will they offer a full refund? Or will they offer a flexible rescheduling option sans penalty? Awareness of such measures helps you effectively manage financial risks.
